Over time, HR policies, processes, and systems can get "dusty" as laws change, employees turn over, and technology is updated. As you wind down from the chaos of your start-of-the-year tasks, spring is the perfect time to clean up, get organized, and let some fresh air into your HR department. Not sure where to begin? Grab your dust cloth, and we'll walk you through our HR spring cleaning checklist.

Employee handbooks can become dated quickly and should be updated at least once per year. A lot can happen in a year, so be sure that company policies reflect any changes in discrimination, harassment, and leave policies. Your handbook should detail all company up-to-date policies and procedures, as well as the company mission and vision.

Chances are, it's not just your closet that needs purging. Take the time to browse your old files and clean out any outdated or unnecessary documents. This process is as easy as a few clicks if you store your files electronically. If not, scrapping old files is a great first step when beginning the process of converting your paper documents to digital. Always be sure to take the necessary security precautions when disposing of important information.

Many employees take vacations throughout the spring and summer months, so spring is the time of year to plan ahead and ensure that your HR team is prepared. Make sure you have a solid system in place for requesting and approving time off to ease the strain on your HR employees. Confirm that you have enough staff to cover vacations, and if you don't, allot some time to review your recruitment practices and create a staffing plan.

Spring is also a great time to audit your payroll records and confirm you comply with minimum wage laws. You must have the most up-to-date federal, state, and local employment posters since they have likely been updated within the last year. Forms and documents required for HIPAA authorizations, COBRA notices, and legal employment should also be well organized and easily accessible.
