Payroll Consultant

We are currently seeking an experienced and motivated individual to be our next Payroll Consultant and join our growing team headquartered in Chicago, IL. This position is fully remote, but client site visits may be necessary once COVID restrictions are lifted.

They are looking for someone who will be responsible for managing multi-state, local and federal payroll tax compliance and serve as the expert for taxation of wages, equity compensation, benefits, labor law, and state and local mandates. This person will be responsible for monitoring, managing and reconciling payroll taxes at the employer and employee level while collaborating to improve operational and technical processes supporting payroll.

About the Role:

We are looking for someone who will be responsible for managing multi-state, local and federal payroll tax compliance and serve as the expert for taxation of wages, equity compensation, benefits, labor law, and state and local mandates. This person will be responsible for monitoring, managing and reconciling payroll taxes at the employer and employee level while collaborating to improve operational and technical processes supporting payroll. This person will focus on the following key areas:

  • Perform analysis and communication for unique employee tax scenarios related to relocation, global mobility and work location specific taxation, among others.

  • Responsible for accurate set up and system maintenance of SUI rates, and verification of rates applied by state. Ability to interpret, communicate, and execute changes as needed.

  • Responsible for new registrations and power of attorneys for federal, state and local tax agencies.

  • Researches federal, state and local laws/regulations related to FLSA, payroll tax withholding, and benefits. Partners with Legal, Finance, and People & Culture in implementing and administering plans to ensure compliance.

  • Partner with 3rd party vendor on inquiries/notices from federal, state and local labor and tax agencies on payroll related issues.

  • Coordinate tax filing amendments with the 3rd party vendor as needed.

  • Responsible for 401k Administration, including biweekly reporting, compliance, match processing and vendor management.

  • Execute policies and procedures consistently and ensure compliance with key SOX controls. Continue to monitor and maintain for accuracy and relevance.

  • Coordinate with and assist auditors and 3rd party vendor on all internal and external audits (e.g. DOL, IRS, 401(k) annual audits, Worker's Compensation).

  • Assist with preparation and documentation of quarterly financial audits.

  • Reviews and balances monthly, quarterly and annual filings as prepared by the 3rd party vendor.

  • Responsible for accurate taxation on equity transactions.

  • Manage tax related matters associated with acquisitions.

  • Assist as backup for processing bi-weekly and off-cycle payroll, as well as ensuring regular compliance and accuracy.

  • Develop reports and perform data analysis as needed.

  • Develop and maintain relationships throughout the organization to increase understanding of the business and keep current with changes that may impact tax or require guidance.

  • Partner in transforming and streamlining processes to provide greater efficiencies.

  • Provide knowledge, development and mentorship to team members.

Required:

  • 5+ years payroll tax experience performing all functions of payroll and tax

  • Bachelor’s Degree or equivalent experience in Accounting, Human Resources, or Finance

  • Workday payroll experience

  • Advanced knowledge of Excel and proficiency with all Microsoft Office applications

  • Knowledge of accounting principles and SOX requirements

  • Working knowledge of multi-state taxation compliance

  • Knowledge of federal, state and local laws pertaining to payroll, taxes and filings

  • Understand and apply complex tax laws and regulations with attention to details
